How ROMBI PIXEL LTD, trading as Fintech Den™, collects, uses and protects personal data under the UK GDPR and the EU GDPR.

Last updated: 2 November 2026

1. Who we are

Fintech Den™ is a trading name of ROMBI PIXEL LTD, a company registered in England and Wales (company number 15947340), with its registered office at Suite A, 82 James Carter Road, Bury St. Edmunds, IP28 7DE, United Kingdom.

ROMBI PIXEL LTD is the controller of the personal data described in this policy.

If you have any questions about this policy or how we use your personal data, email us at contact@rombipixel.com.

2. What this policy covers

This policy explains how we collect and use personal data about:

  • people who visit our website
  • people who contact us, book a call or ask for our white papers
  • people at companies we'd like to work with
  • contacts at our clients, partners and suppliers

It doesn't cover personal data we handle for our clients when we build or run systems for them. In that work, the client is the controller and we act as its processor under a data processing agreement. If your data is held in a system we look after for one of our clients, please contact that client first.

3. The personal data we collect

Type of data Examples Where it comes from
Contact details Name, job title, company, work email address and phone number You, when you email us or book a call, or public sources such as your company's website or LinkedIn profile
Correspondence and call notes Emails, meeting notes and what you tell us about your project You
Business and contract details Billing contacts, proposals, contracts and invoices You or your company
Marketing preferences Whether you've asked us to stop contacting you You
Technical data IP address, browser type, pages visited, and the date and time of your visit Your device, when you visit our website

We don't ask for special category data, such as information about your health, and we ask you not to send it to us.

4. Why we use your data, and our lawful basis

The UK GDPR and the EU GDPR require a lawful basis for each way we use personal data. Ours are:

What we use it for Lawful basis
Replying to your messages and holding discovery calls Legitimate interests: responding to enquiries and finding out whether we can help
Preparing proposals, agreeing contracts and delivering projects Contract, where you're personally our client or about to become one; otherwise legitimate interests in working with your company
Managing our relationships with clients, partners and suppliers Legitimate interests in running our business
Sending relevant business updates, white papers and invitations Legitimate interests in business-to-business marketing, or your consent where the law requires it
Running, securing and improving our website Legitimate interests in keeping our website safe and working well
Keeping accounting and tax records Legal obligation
Remembering your language with a cookie Consent

Where we rely on legitimate interests, we've balanced them against your rights and what you'd reasonably expect. You can ask us for details of that assessment.

5. Marketing and how to opt out

We only send business-to-business marketing that's relevant to your role, and every message includes a simple way to opt out. If you opt out, we stop, and we keep a short record of your details so we don't contact you again. Where the law in your country requires your consent before we email you, we ask for it first.

You can object to direct marketing at any time by emailing contact@rombipixel.com.

6. Cookies

Cookies are small files a website stores on your device. We use an essential cookie that stores your cookie choice. Only if you allow it, we also use a cookie that remembers your language, so the website opens in your last saved language. We don't use analytics, advertising or tracking cookies. You can change your choice at any time with the Cookie settings link in our footer. Our booking page at booking.fintechden.com may use its own cookies when you book a discovery call.

Our Cookie Policy has the details and explains how to control cookies in your browser.

7. Who we share your data with

We don't sell personal data. We share it only when we need to, with:

  • service providers who help us run our business, such as email, calendar and video-call, website hosting, document storage and accounting providers, who act on our instructions under contracts that protect your data
  • subcontractors who work on our projects, who are vetted before they start and bound by written confidentiality and data protection terms
  • AI service providers we use to help with our work, under commercial terms that don't allow them to use your data to train their models
  • professional advisers, such as accountants, lawyers and insurers
  • clients or partners, when you've asked us to make an introduction or a project you're involved in needs it
  • regulators, law enforcement or courts, when the law requires it
  • a buyer or investor, under confidentiality, if our business is ever sold or restructured

8. International transfers

Some of our directors, subcontractors and service providers are based outside the UK and the European Economic Area (EEA), so your personal data may be accessed or stored in other countries. When that happens, we protect it in one of these ways:

  • the country is recognised as providing adequate protection by the UK government or the European Commission
  • we use the UK International Data Transfer Agreement or Addendum, or the European Commission's standard contractual clauses

You can ask for a copy of the safeguards we use by emailing contact@rombipixel.com.

9. How long we keep your data

Data How long we keep it
Enquiries and call notes that don't lead to work Up to 2 years after our last contact
Client, partner and supplier records, contracts and invoices 6 years after the end of the financial year in which our contract ends, to meet tax and legal duties
Marketing contacts Until you opt out or the contact is no longer relevant; after an opt-out, we keep a minimal record so we don't contact you again
Website technical data Up to 12 months, unless we need it longer to investigate a security issue

After that, we delete or anonymise it.

10. How we keep your data secure

We protect personal data with measures that match the risk, including encryption in transit and at rest, access limited to the people who need it, logging, and independent security testing. We're working towards ISO 27001 certification.

If a personal data breach is likely to put your rights at risk, we report it to the ICO, or the relevant EU authority, within 72 hours where feasible. If the risk to you is high, we also tell you without undue delay.

11. Your rights

Under the UK GDPR and the EU GDPR, you have the right to:

  • access the personal data we hold about you
  • have inaccurate data corrected
  • have your data deleted, in some circumstances
  • restrict how we use your data, in some circumstances
  • object to our use of your data where we rely on legitimate interests, and object to direct marketing at any time
  • receive your data in a portable format, where we rely on consent or a contract
  • withdraw your consent at any time, where we rely on consent

To use any of these rights, email contact@rombipixel.com. We'll reply within one month, and in most cases there's no fee. We may need to confirm your identity first.

12. Complaints

If you're unhappy with how we've handled your data, please tell us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office in the UK, or to the data protection authority in the EU country where you live or work.

13. Automated decisions and children

We don't make decisions about you using only automated means. Our website and services are for businesses, and we don't knowingly collect personal data from children.
